The Map’s Edge Limited fully respects the individual’s right to privacy and we will do our utmost to protect any personal information that we are required to provide to third parties as part of legal and logistical requirements for the smooth running of the itinerary. We will endeavor to keep as secure as possible any personal details that we are required to retain for official record keeping purposes for the Authorities in question.
The Map’s Edge Limited has established reasonable security protocols for any information stored on the company computers and databases or in the office premises and we will only retain the minimum necessary information after an itinerary has happened.
Personal Data
In order to comply with legal requirements in East Africa in terms of aviation ticketing and accommodation registration, purchasing of park fees for all National Parks and Protected Areas as well as Emergency Evacuation Insurance so as to ensure the smooth running of an itinerary and to make sure the service is as good as possible, we are required to provide third party suppliers with information on clients which covers, but is not limited to, the following: full names, ages, nationalities, date of birth, passport numbers, passport copies, dietary and medical history relevant to a safari holiday as well as anniversaries, important celebratory dates and honeymoons.
When a safari involves minors under the age of 18 years, we assume that the parents or responsible adults on the safari have the right to share the personal information needed for the children.
As part of the process of booking a safari we will also retain email addresses and telephone numbers and emergency contact information and may use these where relevant to the circumstances. Email addresses may be entered into our database for marketing purposes. At any time, you can request for your email to be removed from the marketing databases.
The Government of Tanzania as well as the Tanzania Revenue Authority or a legal obligation may require us to comply with requests for personal information.
Confirmation of a safari and payment of a deposit and balance constitutes agreement for the use of personal data.
We keep this information securely and retain it only for compliance and regulatory reasons. Some of this information will be stored on the Cloud. We will not share this information with any persons or companies not directly related to the performance and execution of the safari. We also send the following instructions to all suppliers with each itinerary:
In order to comply with the EU General Data Protection Regulation, please will you ensure that all client details listed below are deleted from your system after the safari is complete and are not used for any other purpose than the safari operation. Please do not share this information with any person not directly involved in the provision of services contained within this itinerary and ensure that they also delete the data after the service has been provided and the information is no longer needed for regulatory purposes. The Regulation is applicable to all businesses that have dealings with EU citizens around the world. Please make sure you are EUGDPR compliant. If you are not, please advise us immediately.
However, we cannot be held responsible for a third party security breach of personal information as the information is passed on as a requirement of the booking and service confirmation and we have done our best to ensure compliance with the EUGDPR
Photography.
The Company reserves the right without further notice to make use of any photography or film or video taken on the safari by our staff for general publicity purposes without payment or permission from the client or tour operator. However, no photographs will be used that allow showing the faces of clients which would assist in the positive identification of individuals by a third unrelated party as per the EUDPR. If The Map’s Edge Ltd wants to use such photographs or film or videos, they will obtain written permission from the people involved
